Operations platform for travel agencies

Every booking becomes a task. Every task becomes revenue you can track.

TravelERP turns booking documents — GDS ticket files, supplier PDFs, WhatsApp photos, inbox emails, and supplier APIs — into structured tasks automatically, then carries each one through invoicing, payment collection, and agent profit calculation without re-typing a thing.

Task Uploader

Drop in a booking document from anywhere it arrives — GDS ticket file, supplier PDF, WhatsApp photo, inbox email, or a supplier's own booking API — and it becomes a structured task automatically, no retyping.

  • Six live intake channels: watched per-supplier folders scanned on a schedule, manual upload, inbound email parsing, WhatsApp media via the Resayil webhook, a generic API/n8n webhook endpoint, and direct supplier API integrations (TBO Holidays, Magic Holiday, DOTW hotel supply).
  • Six parsing methods feed one common task shape: a dedicated Amadeus GDS regex parser, AI-based extraction for PDFs and free-form documents, GPT-4o vision passport-image extraction that auto-creates the client record, a text-receipt regex parser, an email-body AI extractor, and Excel/CSV bulk import.
  • 12 task types — flight, hotel, visa, insurance, tour, cruise, car, rail, esim, event, lounge, ferry — each with its own detail schema.
  • Built-in safeguards: duplicate-file detection, per-supplier surcharge and auto-billing rules, agent/branch auto-resolution, original-task linking for reissue/refund/void tracking, and a processing lock so overlapping runs never double-import a file.
  • Multi-passenger files split automatically into one task per traveler; connecting flights are captured as linked segments on the same task.

Payment Gateway

Take a payment however the client wants to pay — KNET, card, Apple Pay, bank transfer, or a shareable link sent straight to WhatsApp — and the money is reconciled to the right invoice automatically.

  • Four gateways wired end-to-end with live callback and webhook handling — MyFatoorah, Hesabe, Tap, and UPayment — each with its own routes and a payment-method sync command that pulls available methods in automatically. KNET is accepted as a payment method through all four; it isn't a separate integration.
  • Shareable payment links: an agent generates a link per invoice, or for a partial-payment shortage, and sends it by email or directly through WhatsApp — the client pays without ever logging in.
  • Split and multi-gateway payments on a single invoice, plus payment-method "groups" so a company can offer a curated subset of gateways per invoice or client.
  • Every payment tracks its own gateway fee and settles against the correct company bank account.
  • Automated background reconciliation: a scheduled job polls gateway status, with a backfill command to repair historical gaps.

Customer CRM

One profile per client — every task, invoice, credit, and payment they've ever had, who's allowed to talk to them, and a one-tap way to send them a payment reminder on WhatsApp.

  • A full client profile screen showing paid vs. unpaid totals, running credit balance, credit history, task count, and invoice count in one view.
  • Corporate and family client groups: a company account and its individual travelers can be managed together through parent/sub-client linking.
  • Client ownership and duplicate protection: when two agents try to create the same client, an assignment-request workflow routes it for approval instead of silently duplicating the record.
  • A client credit wallet — top-ups, balance tracking, and credit applied directly against invoices.
  • Automated payment reminders on a schedule, plus a screen listing every unpaid invoice by due date with sent reminders tracked per invoice.
  • Client data entry straight from a passport photo — GPT-4o vision extracts name, passport number, civil number, date of birth, nationality, and expiry into a new or existing client record.

Agent Profit Calculation

Every booking shows exactly how much the agency made and how much the agent earns from it — under four different pay structures the owner picks per agent — calculated automatically every month, with a built-in way to recover money when an agent's bookings run at a loss.

  • Four selectable commission models per agent, computed live off real invoice data: salary-only, commission-only, salary-plus-commission, and a target-gated profit-share model that only pays out once the agent's monthly profit clears a set target.
  • An automated monthly commission run that snapshots salary, target, rate, total commission, and total profit per agent for permanent history.
  • Per-invoice profit stored at the line-item level, so every task's margin is auditable back to the original booking, not just a monthly total.
  • A profit-by-agent report and dashboard totals showing each agent's running contribution and the company-wide sum.
  • An agent settlement system for recovering shortfalls when bookings run at a loss — settled automatically against the agent's accumulated profit balance, or by a payment link they pay directly — with a running settlement number and paid/remaining tracking.

Resayil

The WhatsApp number your agents and clients already use becomes part of TravelERP's automation layer: a passport photo or a supplier's PDF turns into a task on its own, invoices and payment links go out the moment they're due, and every reply finds the right agent automatically.

Automation & AI

AI-powered
  • Booking documents reach the client automatically — ticket, hotel voucher, visa, invoice, or payment link — sent to WhatsApp the moment they're issued.
  • Inbound documents read themselves: a supplier's PDF or a client's passport photo sent on WhatsApp becomes a task in the system without anyone typing it in.
  • Reminders send themselves, too — unpaid invoices, uninvoiced tasks, and upcoming travel all trigger a WhatsApp message on schedule.
  • Replies route themselves: a client's message finds the right agent and department automatically, with no manual handoff.
  • Scheduled sends, auto-expiring messages, and idempotent delivery — a retried payment webhook can never double-message a client.

The shared inbox

  • One inbox, every agent — labels, quick replies, automatic replies, and per-agent analytics in a shared multi-agent view.
  • Works as a slide-out drawer while an agent is on a task, or a full-screen view inside TravelERP — whichever the moment calls for.
  • Staff accounts are provisioned by the platform — created for each teammate up to the included user allowance, not self-signup.

Reach

  • Text, images, documents, interactive buttons, list menus, polls, locations, and contact cards — not just plain text.
  • WhatsApp Business templates keep the conversation open past the 24-hour reply window.
  • Bulk campaigns with pacing and a start/stop control, number validation before sending, and delivery logs that answer "did they get it?"
  • Groups and channels, for agencies running WhatsApp communities alongside one-to-one chats.

Four gateways, wired end-to-end — KNET works through every one of them.

MyFatoorah, Hesabe, Tap, and UPayment each have their own API credentials, callback routes, and controller logic running in production — not stubs. KNET, Visa/Mastercard, Apple Pay, Google Pay, and Samsung Pay are accepted as payment methods delivered through these four gateways, the same way most Kuwait merchants offer them — so KNET is listed here as a payment method, not counted as a separate integration.

81 active suppliers feeding tasks into the platform automatically.

Airlines, hotel-bed banks, visa processors, GDS feeds, and insurance providers — each one has a supplier profile, a watched intake folder or API connection, and its own surcharge rules configured in production. These are the names agents see most often.

From a document landing anywhere to an agent's profit calculated — in five steps.

Every task moves through the same path, whether it started as a GDS file, a WhatsApp photo, or a supplier API response.

STEP 01

Ingest

A booking document arrives — a GDS ticket file, supplier PDF, WhatsApp photo, inbox email, or a supplier API response.

STEP 02

Task

It's parsed automatically into one of 12 structured task types — flight, hotel, visa, insurance, tour, and more.

STEP 03

Invoice

The task links to the client's profile and an invoice is generated, ready for payment.

STEP 04

Pay

The client pays by KNET, card, Apple Pay, bank transfer, or a payment link sent straight to WhatsApp.

STEP 05

Profit

Commission and profit are calculated automatically under the agent's assigned pay structure.
